As our Facilities Coordinator, you’ll play a key part in ensuring our business runs smoothly, managing day-to-day office operations. • Ensures efficient day-to-day office operations, including managing supplies, equipments, and facilities
• Oversees the maintenance and organization of office spaces, ensuring a productive working environment
• Manages relationships with service providers, vendors, and contractors, ensuring good relationship with all relevant suppliers
• Negotiates contracts and ensures timely renewal of service agreements
• Supports executives and other team members with administrative tasks
• Coordinates the Facilities team on site
• Monitors the compliance with company car policy standards and with local legislation
• Ensures proper protection of the company assets (proper licensing, insurance, technical inspections, minutes for receipt/delivery of cars from/to suppliers/employees etc)
• Assists all company car holders with adequate support for repairs, periodical check-ups, incidents, regulations changes or other issues related to cars
• Maintains proper documentation for car usage reports and all car related expenses and prepares monthly or ad-hoc reports on these
• Identifies purchasing needs within the local organization and ensures all related processes and approvals are in place
• Analyses data, builds business cases, maintains accurate and up-to-date reports, records and documentation, including contribution to annual budgeting exercises
• Develops, implements, updates and ensures compliance with relevant policies and procedures.
• University degree
• English proficiency
• Previous experience in administrative/ office management roles
• Project Management - ability to plan, execute, and oversee end-to-end administrative projects
• Communication - verbal and written, with the ability to present information clearly and professionally
• Problem-Solving - ability to analyze issues and provide effective solutions quickly.
• Detail-oriented and organized
• Good interpersonal skills, ability to work in a matrix organization
• Good knowledge of Romanian related legislation
• Decision Making - identifies key issues, generates solutions and makes rational judgments
• Focuses on delivery – identifies, plans and delivers agreed objectives
• Delivers first class customer service – understands requirements of stakeholders and delivers the agreed and appropriate level of service.
