Position Summary

The Teaching Assistant and Education Coordinator is responsible for assigning Teaching Assistants (TA’s) in support of the ongoing activities of the School of ICP and oversees the input and data management of the Education registration system, Aceware, for the Education Department. Works closely with the Director of Education to monitor and analyze divisional information, financial tracking and forecasting.

Essential Functions And Duties

Education Database Management (Aceware) – 35%

  • Perform data management and operation of the education database management software Aceware including data input, data corrections and data report generation
  • Assists the Continuing Education Program Manager, the Manager of Full Time Programs, and the Manager of Youth Programs by inputting and managing all course data in Aceware?
  • Manage and implement work procedures for the use of AceWare and train staff in the correct use of the system?
  • Provide analytics on the performance and trends of courses for the Education Department and other areas as needed and specified
  • Provides daily continuing education enrollment reports to inform class cancelation decisions
  • Provide student enrollment reports and forecasting for the Director of Education and Dean of the School to inform budget decision and program…
  • Provide registration reports to finance for reconciliation with QuickBooks
  • Provide weekly registrations reports to school facilities for integration with the Web Checkout system
  • Maintains database integrity by enforcing standards and controls
  • Create and maintain Aceware’s html coded email templates
  • Create new user accounts and manage all user permissions
  • Serve as the main ICP point person for communication with Aceware support
  • Assists the IT Department with system upgrades
  • Perform weekly Aceware backups and database cleanups
  • Works closely with the Finance Department to help balance the financial component of the system
  • Keep up to date on system upgrades, attend webinars and online meetings to learn about improvements to the software and train others on key new functions

Teaching Assistant Program Coordination – 45%

  • In coordination with the Continuing Education Program Manager, the Manager of Full Time Programs and liaising with ICP faculty, assign Teaching Assistant (TA) volunteers for Continuing Education and One-Year Certificate classes
  • Maintain a database of all current and past TA’s?
  • Maintain an up-to-date TA mailing list
  • Track and review TA’s schedule and hours
  • Track TA’s performance?
  • Issue TA credit hour cards and IDs
  • With supervisor, develop and maintain TA application process, policy forms, and resources
  • Be the primary contact for all TAs and be responsible for managing the email inbox, ta@icp.edu?

Additional Responsibilities - 20%

  • Support the Continuing Education Registrar with Continuing Education class registration and the management of the Education Inbox by responding to inquiries in a timely manner
  • Answers public inquiries via phone, e-mail and in-person

Education Qualifications

  • Bachelor’s Degree required

Experience Qualifications

  • 2-4 years of system coordination and office experience?

  • Thorough Knowledge of Microsoft Excel?
  • Experience using an education management software or comparable database preferred
  • Experience with working with and managing information in a database
